Department of Art Theory and History Secretariat


The Department´s Secretariat is responsible for the administrative support of the Department’s educational and research activities. Specifically, the Secretariat is in charge of:

o the registration of newly admitted students and the re-registration of continuing students

o student leaves of absence and withdrawals

o maintaining both printed and digital student records, as well as individual student files

o issuing enrollment certificates, transcripts of records, and graduation certificates

o drafting examination timetables and organising the conduct of midterm, final, and graduation exams

o  publishing course grade results after the end of each examination period

o distributing student ID numbers and access credentials for the “Eudoxus” system and the academic ID issuance platform to newly admitted students

o  verifying prerequisites, course exemptions, and credit transfers

o  administering financial allowances to undergraduate students

o  awarding scholarships (from relevant organisations) to undergraduate students

o collecting, processing, and disseminating statistical data on undergraduate and postgraduate studies within the Department

o  managing financial matters related to the operation of the Department

o allocating and equipping teaching and examination rooms (based on Department Assembly decisions), in coordination with the School´s Administrative Support Department

o maintaining records of Erasmus participants, DOATAP students, and auditors

o planning and organising transfer admission examinations

o supporting the process of undergraduate thesis preparation

o managing issues related to postgraduate studies in the Department (e.g. doctoral dissertations, postdoctoral research)

o organising graduation ceremonies, receiving and verifying the necessary supporting documents for participation, and issuing diplomas and diploma supplements

o keeping the Secretariat’s registry

o publishing announcements related to the above responsibilities and forwarding them for posting

o digitising departmental documents

o and, more generally, handling all matters related to the operation of the Department.

 

The Department Secretary heads the Secretariat staff and is accountable to the Department Chair for the smooth, efficient, and effective operation of the Secretariat. Their responsibilities also include supporting and informing the relevant decision-making bodies (notably the Department Assembly) on current legislation and any legal or administrative issues that may arise.

The Secretariat communicates with students through relevant notices or announcements posted on the designated notice boards located in the buildings on Patision and Pireos Streets of the Athens School of Fine Arts, as well as on the Department’s website.
